Online tickets purchase

When you purchase a ticket to one of our events, either online or by speaking to one of our representatives, all or part of the following information is collected:

First name, Last name, email address (professional or personal), company name, job title, associated registrations (members of group bookings), transactional data (ticket type and transaction value), Transaction information including payment method, payment method information (such as credit or debit card number or bank account information), marketing preference opt-out (for the company) and opt-in (for 3rd party data sharing) and various (non-compulsory) profiling pieces of information such as field of expertise or interest.

Virtual events platforms

We use different digital platforms to deliver virtual events. These platforms allow you to interact with other attendees or contributors either by direct message or by posting on public forum, accessible by all participants. You are responsible for all personal data you share on the patform.

Referral Marketing program

We utilise a third-party software to allow you to refer others to our services. When you choose the email option, we will only process the referee’s email address to allow you to email your contact using the platform.

Cookies and log files

The company utilises several cookie based web tracking systems. Cookies are small text files that are placed on your device when you browse websites or click on marketing emails sent by the company.

The following 3rd party systems cookies are published on all or some of the company’s websites:

Hubspot, Hivebrite, Google analytics, Adestra (upland software), Facebook, Linkedin, Twitter and Microsoft Bing.

Most of these tracking systems report on aggregated anonymous data which the company utilises to optimise its advertising efforts and usability of the website.

Non-anonymous personal data is collected in 2 ways:

Emails. When an email is sent through Hubspot or Adestra, a unique identifier is included and allows the company to know which individual engage with emails (opens and clicks)

Hubspot tracking. The company uses Hubspot as a CRM and as a content management system. When a user identifies himself/herself on the websites, (by filling a form or engaging with the chatbot), his/her browsing history originating from the same IP address is recorded and stored against the contact record in the CRM.

Other data collection instances

Personal data is collected on a small scale when you engage with our production team (as a potential speaker), our sales team (in the context of the negotiation of a sale), our HR team (as a potential candidate to a job position), our marketing team (as a potential media partner or vendor) event attendance and use of event’s mobile apps.

The company relies on a variety of 3rd party vendors as data processors, some of which are not headquartered in the European Union. We use all reasonable endeavours to ensure that all data processors are fully compliant with the current data protection regulation and have the right processes and systems in place to ensure your personal data is safe.

Transfers between Europe and the USA by data processors based in the US to process your data are done in compliance with the EU-US and Swiss-US Privacy Shield Program.

Sensitive Personal Information

‘Sensitive personal information’ is information about an individual that reveals their racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, genetic information, biometric information for the purpose of uniquely identifying an individual, information concerning health or information concerning a natural person’s sex life or sexual orientation.

We do not knowingly or intentionally collect sensitive personal information from individuals, and you must not submit sensitive personal information to us.

If, however, you inadvertently or intentionally transmit sensitive personal information to us, you will be considered to have explicitly consented to us processing that sensitive personal information. When made aware of it, we will use and process your sensitive personal information for the purpose of deleting it.

Automated decision-making and profiling

For the purpose of optimising its marketing efforts, the company utilise software and solutions to automate some activities. It include retargeting advertising: if you visit our websites or certain pages of our website, we may use this information to automatically serve targeted and relevant ads online, on networks such as Facebook ads or Google ads.

We also use automation in the context of email marketing. Different email promotions may be sent to you based on your transactional history, past attendance, website visits frequency and diverse personal information collected for the purpose of profiling.
